The cost of a mandate contract (zlecenie) for the client is more than the gross fee. Depending on the contractor’s insurance status, ZUS contributions and tax advances may apply. For the contractor, the key figure is the net amount.

What drives the total cost

  • gross fee,
  • whether ZUS contributions apply,
  • PIT advance and deductible costs (KUP),
  • minimum hourly rate (if applicable),
  • additional deductions or voluntary insurance.

ZUS in a mandate contract

ZUS contributions are often required when the contractor has no other insurance title. If they are employed elsewhere and meet the minimum base, ZUS on the mandate may be reduced. This is the main reason why the same gross amount can generate very different total costs.

PIT and KUP

PIT is usually settled by the payer. Standard KUP (often 20%) reduces the tax base and affects net pay. It does not always change the employer’s cost — that depends mainly on employer‑side contributions.

Minimum hourly rate

Many mandate contracts are subject to a minimum hourly rate. If the work is paid hourly, the rate cannot go below the statutory minimum.

Step‑by‑step calculation

  1. Set gross fee and payment method (hourly or lump sum).
  2. Check whether ZUS contributions apply and who pays them.
  3. Add PIT and KUP to estimate net pay.
  4. Compare total cost for the client with net for the contractor.

Indicative example

When the contractor has no other insurance title, full ZUS applies and the client’s cost rises. If the contractor is insured elsewhere, the cost may be close to gross.

Common mistakes

  • ignoring employer‑side ZUS contributions,
  • assuming the minimum hourly rate doesn’t apply,
  • mixing mandate with task or employment rules,
  • skipping KUP in net calculations.

Checklist for the client

  • contractor’s insurance status,
  • hourly vs lump‑sum settlement,
  • minimum hourly rate obligation,
  • ZUS contribution basis,
  • payout schedule.

Calculate it in practice

Use the mandate contract cost calculator for a quick estimate before negotiating the rate.

Scenarios that change the cost

  • Student/pupil — often no contributions, so the client cost is close to gross pay.
  • Employment in another company — possibly only health insurance, which changes the result.
  • No other title — full contributions and higher total cost.

Data to prepare before calculation

  • gross amount and settlement method,
  • ZUS status of the contractor,
  • whether the minimum hourly rate applies,
  • any copyright costs or tax exceptions.

Why results may differ

The same gross amount can produce different net and client costs. The key drivers are ZUS contributions, contractor status and tax settlement method.

Comparison with employment

A mandate can be cheaper, but not always. With full contributions, the difference may shrink. Compare the result with an employment cost in the employee cost calculator.

Additional client‑side costs

There may be organizational costs: training, tools, travel or bookkeeping. They are not statutory but can affect the real budget.

Short‑term mandates

For short mandates (e.g., 1–2 months) onboarding and organization costs can be relatively high. This matters when comparing a mandate with employment.
